As a Facilities Supervisor, you will maintain standard operating procedures of the mail room, manage and maintain office supply inventories and assist management, management postal and parcel deliveries and pickups and assist with various administrative activities.

Job Responsibilities:

  • Oversee the daily operations of all U.S. based offices including but not limited to: ensuring that the offices are maintained and running at peak performance and ensuring all issues are reported and resolved in a timely fashion
  • Manage procurement of office supplies, stationary and FF&E for all U.S. office locations
  • Manage the online maintenance ticketing system used by employees to report issues
    • Evaluate operations issues, set priorities and assign proper resources for action
    • Follow-up on tickets to ensure timely communication and resolution of issues
  • Maintain and review service contracts at all U.S. based locations required by the office leases and/or to maintain the facilities adequately including but not limited to coffee, water and cleaning services, utilities, HVAC maintenance contracts
  • Supervise the reception operations at the corporate office
  • Review, process and track all facilities-related invoices for payment and expenses including the proper documentation, justification and authorized approval for accounting
  • Oversee the mailroom in the corporate office including proper funds available on postage machine, processing of all mail and parcels in a timely manner
  • Maintain postal funds for all U.S.-based offices that have this requirement including rolls of postage stamps and funds to postage machines
  • Maintain records and compliance for all Department of Transportation certified drivers
  • Review, track and audit all vehicle registrations and related taxes to ensure compliance
  • Maintain office lease system and related files
  • Assist with the audits of multiple systems, including but not limited to Security Access Control system, Procurement system, and Accounting Check Logs system
  • Assist with managing new office projects and renovation projects, as needed

Job Knowledge/Skills:

  • Able to provide excellent customer service and problem resolution both internal and external to ePlus
  • Able to work independently and make sounds decisions
  • Able to communicate effectively, both orally and in writing
  • Knowledge of postage office equipment and functions
  • Basic computer functions/Microsoft Office Suite
  • Multi-tasked oriented/strong organizational skills
  • Must have reliable transportation
  • Must be able to lift and transport heavy boxes

Education and Experience:

  • High school diploma or equivalent experience work experience
  • 3-5 years of experience in a facilities management or similar position
  • Prior experience in commercial construction project management
  • Prior experience running a mail room

Physical Requirements of Position:

Ability of finger dexterity to be used primarily to make small movements such as typing, picking up small objects or pinching fingers together. Movements frequently and regularly required using the wrists, hands and / or fingers. Speech ability must be at a level where one must convey detailed or important instructions or ideas accurately, loudly or quickly. Hearing ability must be at a level to hear average or normal conversations and receive ordinary information. Visual ability must be average with ordinary visual acuity necessary to prepare or inspect documents or products, or operate machinery. Physical strength for work with standing most of the time. May have to exert or lift up to 50 – 70 pounds of force.
